Main Duties and Responsibilities

Act as the primary liaison between Mackie’s and our customer base, third-party logistics providers, and distribution centres, ensuring outstanding customer service, effective communication and relationship management.

Receive and process customer orders and ensure they are delivered on time and in full, while maintaining high levels of accuracy and customer service throughout.

Processing of customer invoicing and stock allocation for delivered orders.

Support the Sales and Production Co-ordinator to manage warehouse stock levels for all our products, conduct regular stock takes and rotation, and work with the production team to ensure adequate stock availability.

Prepare and deliver sales reports on a weekly, monthly, and quarterly basis for internal and external use.

Process sales leads and manage customer enquiries promptly and professionally.

Ensuring all aspects of SAP Business One computer system are kept up to date, including product recipes and customer information.

Work closely with the van sales executive and wider sales team to ensure sales targets are met, reporting functions are completed weekly/monthly and as required, stock takes are regular and accurate,

Complete various administrative tasks as required, including answering phones and managing mail.

Always ensure safe working practice through adherence to the company Food Safety, and Health and Safety policies.

Ensure data protection compliance through the safe and confidential management of all documentation in line with GDPR guidelines.

Other duties in support to the wider team as required.

  • Able to work to a high standard of accuracy and efficiency.
  • Ability to balance tight deadlines and multiple demands.
  • Ability to maintain a solution focused mindset when dealing with impromptu challenges to find and execute solutions
  • Comfortable working independently and collaboratively.
  • Demonstrates a passion for delivering service that matches the quality of Mackie’s award-winning products.
  • Strong numerical aptitude and attention to detail in order processing and stock management.
  • Lead by example displaying positive behaviours, motivating, and supporting staff.

Experience and Qualifications

  • Previous administrative and customer service experience.
  • Proficient in Microsoft Office suite.
  • Advantage to have previous administrative experience
  • Experience in FMCG industry advantageous but not required.
  • Experience working with SAP advantageous but not required.

Key Performance Indicators

  • Accurate stock allocations to invoices – measured against monthly stock takes
  • Customer service and availability levels achieved weekly – measured against orders being acknowledged, processed on time and in full
  • Sales orders and invoices processed same day of creation.
  • Delays and issues communicated within an hour of notification from distributors
  • Sales leads from Van Sales Executive being converted into new, repeat customers
